Someone asks you to send your company profile, and you quickly put together your logo, a list of services and a few paragraphs about the business. The document looks presentable, but does it give the reader enough information to consider working with you?
A company profile should introduce your business clearly, explain what you offer and give the reader a reason to take the next step. Its value comes from useful information, supported by a layout that makes that information easy to follow.
Start with a clear introduction
Your opening should explain who you are, what you do and who you serve, without making the reader search through several pages to understand the business. If you provide construction services, say which kind, if you offer technology services, explain the areas you cover.
Statements such as “we deliver excellent solutions” mean little without that context. A reader should be able to describe your business accurately after reading the introduction.
Explain your services properly
A service list is useful, but some services need a short explanation of what the client receives. “Website maintenance,” for example, could mean content updates, technical maintenance or both, so be specific about your scope.
Group related services together and give the most relevant ones enough attention, rather than filling the document with every task your business could possibly perform. A focused profile makes your offer easier to understand.
Show evidence of your work
If you have completed relevant projects, include a few examples explaining what you delivered and, where possible, the result. A brief project description can tell a reader more than a page of claims about quality.
Use genuine photographs and accurate information, with permission where client names, images or confidential details are involved. If the business is new, present the team’s relevant experience honestly rather than suggesting the company completed work that belonged to a previous employer.
Include the details that support a decision
Depending on your audience, readers may want to know your location, experience, team capabilities, service area or relevant qualifications. Include information that helps them assess your suitability, while keeping sensitive documents and personal details out of a general profile.
Your contact information should be current and easy to find, including your business email, phone number and website.
Keep it readable and current
A profile does not need to be long to be useful, its length should reflect the information a prospective client needs. Use clear headings, comfortable text sizes and enough space between sections, then check that the PDF is easy to read on a phone.
Review the document when your services, contacts or experience change, because an old profile can introduce your business inaccurately even when its design still looks good.
Before sending it, ask yourself whether someone unfamiliar with your company would understand your offer, see evidence of your capabilities and know how to contact you.
